1. Choose a quiet cut-off point
Avoid changing the diary in the middle of the busiest day. Pick a future date from which the digital calendar becomes the working record, and keep the paper diary available for reference during the transition.
Tell the team exactly when new appointments should stop being written only on paper. A clear cut-off prevents two versions of the truth.
2. Clean the information before moving it
Do not transfer every old note automatically. Remove obvious duplicates, correct incomplete phone numbers and decide which client information the salon still has a lawful reason to keep.
If data already exists in a spreadsheet, standardise headings such as first name, surname, phone and email before importing. Keep an untouched backup of the source file.
